# Privacy Policy

Osaka University Venture Capital Co., Ltd. handles the personal information of our stakeholders in accordance with the following policy in order to provide our services (the "Services").

We collect personal information through appropriate means.

We comply with applicable laws, regulations, governmental ordinances, guidelines, and other standards regarding the handling of personal information, and implement necessary security measures to safeguard personal data.

We use personal information for the following purposes:

1. To accept registrations for the Services, verify user identity, authenticate users, record user settings, and provide, protect, and improve the Services;
2. To analyze data for the development and improvement of the Services;
3. To request cooperation in surveys and other research related to our business activities;
4. To provide information regarding the Services and respond to inquiries and other requests;
5. To address violations of our terms, policies, or other rules relating to the Services; and
6. To notify users of changes to our terms and other rules relating to the Services.

 

We use personal information provided to us only within the scope of the purposes of use specified above and will not use it for any other purpose without the individual's consent. You may choose not to provide personal information at your own discretion. Please note, however, that in such cases, you may be unable to use the services provided through this website.

When we jointly use personal data, the following applies:

1. Categories of Personal Data Jointly Used:   
    Name, email address, affiliation, educational background, and professional experience
2. Purpose of Joint Use:  
    As described in Section 3 above.
3. Parties Jointly Using the Personal Data:  
    1) The University of Osaka   
    2) General partners of investment limited partnerships for which we serve as a general partner
4. Entity Responsible for Managing the Jointly Used Personal Data:  
    Osaka University Venture Capital

### 5. Non-Disclosure to Third Parties

We will not provide personal data to third parties, except in any of the following cases:

1. When the individual has given consent;
2. When we provide personal data to contractors or partner companies that have entered into confidentiality agreements with us, to the extent necessary to achieve the stated purposes of use;
3. When the personal data has been processed into statistical data in a form that does not allow the individual to be identified; or
4. When otherwise permitted under the Act on the Protection of Personal Information or other applicable laws and regulations.

### 6. Disclosure and Other Requests Concerning Retained Personal Data

If we receive a request to change the purposes of use of, confirm, correct, add to, delete, suspend the use of, erase, or suspend the provision to third parties of retained personal data, we will respond appropriately, to the extent permitted under the Act on the Protection of Personal Information, only after confirming that the requester is the individual concerned or a person authorized by the individual.

# DE&I Policy

### 1. Why We Value DE&I

Recognizing that Diversity, Equity, and Inclusion (DE&I) play an important role in realizing a sustainable society and are essential to corporate growth, we will continue to value DE&I as a member of the venture community.

 

### 2. Our Goals for Advancing DE&I

To advance DE&I, we aim to promote the following:

- Developing policies that respect DE&I, as well as strategies and plans that include necessary KPIs, to promote DE&I
- Demonstrating DE&I through leadership and communication
- Creating an organizational culture of psychological safety and inclusion

### 3. Towards the Elimination of Harassment

Harassment is a human rights issue, and we will not tolerate any acts of harassment against our employees and the officers and employees of our portfolio companies and companies under consideration for investment.

To eliminate acts of harassment, we will implement the following:

- Establishing a policy that does not tolerate harassment or any form of discrimination
- Clearly expressing management's stance on eliminating harassment
- Establishing safe reporting systems and ensuring their fair operation
- Providing education and training aimed at eliminating harassment and discrimination

# Handling of Public Research Funds

### Basic Policy on Preventing Misuse of Public Research Funds

Based on the “Guidelines on the Management and Audit of Public Research Funds at Research Institutions (Implementation Standards),” we will establish rules and systems for the proper management and auditing of public research funds and ensure their proper implementation.

 

### Clarification of the Responsibility Structure

To ensure the proper operation and management of public funds, we have designated the Representative Director and President as the Chief Administrative Officer and appointed the Director, Corporate Planning & Administration Division as the Supervising Administrative Officer and Compliance Promotion Officer.

 

### To Our Business Partners

We promote the proper operation and management of public research funds.

If involvement in improper transactions, fictitious transactions, false claims, or other misconduct involving public research funds is identified, we may suspend transactions or take other necessary measures.

In addition, to ensure the proper management of public research funds, we may, as necessary, ask you to submit a written pledge and cooperate with confirmations regarding transactions.

# Rules Regarding Recruitment and Job-Seeking Activities

We are committed to preventing harassment and other inappropriate conduct toward job applicants and other individuals that may occur during the recruitment process. To ensure that all applicants can participate in meetings, interviews, and the selection process in a safe and comfortable environment, we have established the following rules.

### 1. Rules for Meetings and Interviews

- As a general rule, meetings and interviews with applicants will be conducted during business hours.
- Meetings and interviews will not be conducted in private spaces, such as an applicant’s home or accommodation. When a meeting or interview is held in an enclosed space, appropriate measures will be taken to ensure that applicants can leave at any time and do not feel uncomfortable or concerned.
- Meetings and interviews will not be conducted if either the applicant or the interviewer is under the influence of alcohol.
- Online meetings and interviews will be conducted using company-managed accounts. Employees’ personal accounts will not be used.
- Communications with applicants will be conducted using company-managed telephone numbers, email addresses, or other communication channels. Employees’ personal telephone numbers, email addresses, or other personal means of communication will not be used.

### 2. Employee Awareness and Education

We will continuously communicate these rules to our employees and provide ongoing awareness and education to prevent harassment and other inappropriate conduct toward applicants.

### 3. Consultation and Reporting

If, during our recruitment process, you experience or become aware of any inappropriate conduct, harassment, or other inappropriate behavior by an employee, please contact the consultation desk below.

 

We welcome a wide range of inquiries and concerns, including cases where it is difficult to determine whether particular conduct constitutes harassment, and we will respond appropriately. In handling consultations, we will give due consideration not only to the privacy of the person raising the concern but also to that of all individuals involved, and will respond fairly. Please be assured that raising a concern or cooperating with any fact-finding process will not affect decisions regarding your application or selection process.
